ParsePilot LLC ("ParsePilot," "we," "us," or "our") is committed to protecting the privacy of individuals who visit our website at parsepilot.ai, use our platform, or otherwise interact with our Services. This Privacy Policy explains what personal data we collect, why we collect it, how we use and share it, and the choices available to you.

This policy applies to all personal data processed by ParsePilot in connection with our website, applications, APIs, and related services (collectively, the "Services"). By using the Services, you acknowledge that you have read and understood this Privacy Policy. This policy is incorporated into and subject to our Terms of Service.

1. Information We Collect

1.1 Information You Provide Directly

  • Account information: name, email address, company name, job title, phone number, and password when you register for an account or fill out a contact form.
  • Billing information: payment method details and billing address, processed through our third-party payment processor (Stripe). We do not store full payment card numbers on our servers.
  • Customer Data: documents, files, emails, and other data you submit to the Services for processing through your workflows. You retain ownership of this data as described in our Terms of Service.
  • Communications: information you provide when you contact our support team, respond to surveys, or otherwise communicate with us.

1.2 Information Collected Automatically

  • Device and browser data: IP address, browser type and version, operating system, device type, and screen resolution.
  • Usage data: pages visited, features used, clickstream data, session duration, referring URLs, and timestamps.
  • Log data: server logs that record requests made to our Services, including request type, date/time, and system activity.
  • Cookies and similar technologies: we use cookies and similar technologies as described in Section 6 below.

1.3 Information from Third Parties

  • Authentication providers: if you sign in using a third-party service, we may receive your name and email address from that provider.
  • Analytics platforms: aggregated and anonymized usage data from analytics services.
  • Business partners: contact information from referral or integration partners, where you have consented to the sharing.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Provide and operate the Services: to create and manage your account, process your workflows, deliver the features you request, and provide customer support.
  • Billing and payments: to process transactions, send invoices, and manage your subscription.
  • Improve and develop: to analyze usage patterns, diagnose technical issues, and develop new features and improvements to the Services.
  • Security and fraud prevention: to monitor for suspicious activity, enforce our Terms of Service, and protect the security and integrity of the Services.
  • Communications: to send transactional emails (account verification, password resets, billing notifications), respond to your inquiries, and, where permitted, send product updates or announcements. You can opt out of non-essential communications at any time.
  • Legal compliance: to comply with applicable laws, regulations, legal processes, or enforceable governmental requests.

We do not sell your personal data to third parties. We do not process your personal data for targeted advertising.

3. How We Share Your Information

We may share your personal data only in the following circumstances:

  • Service providers: we share data with trusted third-party vendors who assist us in operating the Services, including cloud hosting (e.g., Google Cloud, AWS), payment processing (e.g., Stripe), email delivery (e.g., SendGrid), and analytics. These providers are contractually obligated to use your data only to perform services on our behalf and to protect it in accordance with this policy.
  • AI and machine learning providers: where your workflows involve AI-powered processing (such as document extraction, classification, or natural language analysis), Customer Data necessary to perform that processing may be transmitted to third-party AI service providers. These providers are contractually restricted from using your data for purposes beyond delivering the requested service.
  • Legal requirements: we may disclose your information if required by law, regulation, legal process, or governmental request, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfers: in connection with a merger, acquisition, reorganization, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change and any choices you may have regarding your data.
  • With your consent: we may share your information in other ways if you direct us to or provide explicit consent.

4. Data Retention

We retain your personal data for as long as your account is active or as needed to provide the Services. After account termination, we will delete or anonymize your personal data within 90 days, except where retention is required by applicable law (e.g., tax, accounting, or legal obligations) or necessary to resolve disputes or enforce our agreements.

Customer Data submitted for workflow processing is retained in accordance with your subscription agreement and the data retention settings configured in your account. You may request data export or deletion at any time by contacting us.

5. Data Security

We maintain and continue to develop commercially reasonable administrative, technical, and physical safeguards designed to protect your personal data, which include:

  • Encryption of data in transit (TLS/SSL) and at rest.
  • Access controls and authentication mechanisms, including multi-factor authentication.
  • Regular security assessments and monitoring.
  • Employee access limited to those with a business need.

No method of electronic transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security. If you become aware of a security incident, please notify us immediately at security@parsepilot.ai.

6. Cookies and Tracking Technologies

We use the following types of cookies and similar technologies:

  • Essential cookies: required for the basic functionality of the Services (e.g., session management, authentication). These cannot be disabled.

We do not use advertising or tracking cookies for targeted advertising purposes. You can control cookies through your browser settings. Disabling certain cookies may limit the functionality of the Services.

7. Your Privacy Rights

7.1 Your Privacy Rights

ParsePilot does not sell personal data and does not process personal data for targeted advertising.

7.2 How to Exercise Your Rights

To submit a privacy rights request, contact us at privacy@parsepilot.ai. We will verify your identity before processing your request and respond within 45 days. If we need additional time, we will notify you of the extension and the reason.

7.3 Appeal Process

If we deny your request, we will provide you with a written explanation of the reasons. You may appeal the decision by contacting us at privacy@parsepilot.ai with the subject line "Privacy Rights Appeal." We will respond to your appeal within 60 days. If the appeal is denied, you may contact the applicable regulatory authority in your jurisdiction to submit a complaint.

7.4 Other State Privacy Laws

If you reside in a state with a comprehensive consumer privacy law (e.g., California, Colorado, Connecticut, Virginia, or others), you may have similar rights. Contact us at privacy@parsepilot.ai and we will process your request in accordance with the applicable law.

8. Children's Privacy

The Services are not directed to individuals under the age of 18 and are intended for business use. We do not knowingly collect personal data from children under 18. If we learn that we have collected personal data from a child under 18, we will take steps to delete that information promptly. If you believe we have inadvertently collected data from a minor, please contact us at privacy@parsepilot.ai.

9. International Data Transfers

ParsePilot is based in the United States and processes data in the United States. If you access the Services from outside the United States, your personal data will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction. By using the Services, you consent to the transfer and processing of your data in the United States.

The Services may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party sites you visit.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. If we make material changes, we will notify you by email or by posting a prominent notice on the Services at least 15 days before the changes take effect. Your continued use of the Services after the effective date constitutes your acceptance of the updated policy.
